Job Summary
We are seeking a highly organized, proactive, and politically savvy Administrative Assistant to support the President of a dynamic political consulting firm. This role requires exceptional organizational, communication, and time-management skills, a strong sense of professionalism, and the ability to handle confidential information with integrity and discretion. The ideal candidate will be detail-oriented, discreet, and capable of managing a wide range of administrative and strategic support functions, including daily operations, managing schedules, and ensuring smooth communication within and outside the organization.
Key Responsibilities
Executive Support: Manage the President’s calendar, coordinate meetings with clients, candidates, and political stakeholders, coordinate other calendar, and ensure efficient scheduling aligned with work demands.
Communication Management: Draft, proofread, and manage correspondence, briefing materials, memos, and talking points that reflect a clear understanding of the political landscape.
Meeting Preparation & Follow-Up: Organize and support internal and external meetings; prepare agendas, take minutes, and ensure timely follow-up on action items.
Project Assistance: Support the president in managing strategic projects, conducting research, and preparing presentations or reports.
Document Management: Maintain accurate filing systems (digital and physical) and ensure documents are readily accessible.
Conference & Networking Follow-Up: Support the President before and after conferences by tracking key contacts, coordinating follow-up communications, and maintaining networking databases or contact lists.
Special Research Projects: Assist with in-depth research projects, such as opposition analysis, client background briefs, and strategic planning documents.
Confidential Liaison: Act as a point of contact between the President and internal/external stakeholders while maintaining confidentiality. Serve as a primary point of contact between the President and clients, campaign teams, media contacts, and staff while exercising sound judgment and confidentiality.
Office Administration: Handle expense reports, invoice processing, and other administrative duties to support executive operations.
Event Planning: Organize internal and external events, including board meetings, company-wide gatherings, and executive off-sites.
Travel & Event Coordination: Handle all logistics for the President’s travel, including campaign visits, client meetings, and political events; assist in organizing firm-hosted events and fundraisers.

Job requirements
Qualifications
3+ years of experience in an executive or administrative assistant role, ideally in a political, campaign, consulting, or public affairs setting.
Proven experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior leadership.
Excellent organizational and multitasking abilities with strong attention to detail.
Outstanding written and verbal communication skills.
High level of discretion and professionalism in handling sensitive information.
Proficiency in Google Workspace, Excel, Hubspot, Monday.com, and familiarity with project management or CRM tools is a plus.
Preferred Bachelor's degree, but not required.
